Best Estimating Software for Small Contractors: 7 Options Compared
FlyQuote Team · October 22, 2026
We make one of the tools on this list, so this is not a neutral review. It is an attempt at an honest one. Every description below is general and current as of October 2026, and each tool's own site is the place to confirm features and prices; we link to them and we do not quote their pricing, because it changes.
The one question that sorts the list
Estimating software for small contractors splits on whether you type the price or derive it. Document-first tools make it fast to produce a clean estimate from numbers you already know. Rules-first tools make the number come from your costs, markup, and minimums so it is the same every time regardless of who writes it. Field-service platforms bundle estimating with scheduling, dispatch, and invoicing. Takeoff tools measure quantities from drawings. Insurance tools price to a carrier database. Knowing which one you need removes most of the list.
1. FlyQuote
Rules-first quoting from photos, calls, and a question flow. The job arrives as photos, video, and a voice note through a form on your site, as a call recording, or through an on-site field wizard. A branching question flow turns it into line items and a deterministic engine prices them from your cost codes, formulas, markups, and minimums. AI drafts scope grounded in your own past estimates but never sets a price. Proposals go out as a branded page with a matching PDF, e-signature, and open tracking. Best for small trades businesses whose quotes take too long or whose numbers drift between estimators. It does not do invoicing or scheduling. First form and two leads are free; see pricing.
2. Joist
Document-first estimates and invoices, free to start. Build an estimate from saved items, convert to an invoice, take payment, sync to accounting. Simple and widely used. Best for a solo contractor who knows their prices and wants estimate, invoice, and payment in one phone app. The price is whatever you type. joist.com; our longer FlyQuote vs Joist comparison goes deeper.
3. Jobber
Field-service platform with quoting inside it. Quotes, scheduling, dispatch, invoicing, payments, and customer communication for home-service businesses. Best for a crew-based service company that needs the whole operation in one system and is happy to type prices into quotes. Heavier and pricier than a quoting tool alone. getjobber.com.
4. Housecall Pro
Field-service platform, similar scope to Jobber. Estimates, scheduling, dispatching, invoicing, payments, and marketing tools for home services. Best for the same kind of business as Jobber; the choice between the two usually comes down to the specific features and integrations your trade needs. housecallpro.com.
5. Buildertrend
Construction project management with estimating built in. Estimates, proposals, selections, schedules, change orders, and client portals for builders and remodelers running longer projects. Best for a remodeler or custom builder with multi-week jobs who needs the project side as much as the estimate. More than a small repair-and-service shop needs. buildertrend.com.
6. STACK
Takeoff and estimating from plans. Upload drawings, measure quantities on screen, and price them. Best for contractors who bid from plan sets, commercial subs and some new-construction residential. If your jobs start with a walkthrough rather than a drawing, this is the wrong shape. stackct.com.
7. Xactimate
Insurance claim estimating. Verisk's regionally priced line-item database and sketch tool, in the format carriers expect. Best, and often required, for restoration contractors paid by insurers. The wrong pricing basis for retail work the homeowner pays for. verisk.com; see FlyQuote vs Xactimate.
How to pick, in three questions
- Where should the price come from? If "my head, I know my prices," a document-first tool is enough. If "rules, so it is the same every time," you want rules-first.
- What else do you need in the same system? Scheduling and dispatch point you at a field-service platform. Project management points at a builder platform. Just quoting points at a quoting tool.
- Where does the job start? Drawings mean a takeoff tool. A claim means Xactimate. A walkthrough, a call, or a website form means a tool built to capture those.
The free way to decide
Most of these have a free tier or a trial. Run one real job through two of them in the same week. The one that gets a correct number in front of the customer with the least retyping is the right answer for your business, whatever this list says. If you want to try FlyQuote with your own rate card, how it works shows the flow and the first form is free.
